User Guide & Help Center

Learn what each feature does, how it works, and why it matters — with pictures and short videos for every role.

Institution Setup

What is it?

The foundation of your school in the system — campuses, branches, shifts, academic sessions, departments, classes, sections, rooms, subjects, and your branding.

How does it work?

Go to Institution Setup and work through each section: add your campuses/branches, define academic sessions and shifts, then create classes, sections and subjects under them. Upload your logo and set signatories for official documents. Most other modules (admissions, exams, attendance) depend on this structure being set up first.

Why this matters

This is the backbone everything else is built on. Getting your classes, sections and academic sessions right from day one prevents mismatched records later in admissions, exams and attendance.

Institution Setup

Admissions

What is it?

A complete pipeline for accepting and processing new student applications, including admission tests and merit lists.

How does it work?

Publish an admission form for a session, review incoming applications, optionally schedule an admission test with questions, and let the system auto-generate a merit list from test scores. Approve applications to enroll students directly into a class and section.

Why this matters

Removes manual paperwork and spreadsheets from your admission season, and ensures every accepted student is enrolled consistently with no double data entry.

Student Information

What is it?

The central record of every student and their linked guardians, including guardian-link approvals and daily attendance.

How does it work?

Open Student Information to view or edit any student's profile, and manage guardian records. When a guardian requests to link to a student account, review and approve or reject it here. Daily attendance is also recorded and reported from this section.

Why this matters

Keeps one accurate source of truth per student, so teachers, exam records and finance all reference the same up-to-date profile.

Student Information

Academics

What is it?

Course offerings, timetables, lesson plans, assignments, homework and course materials, plus promoting students to their next class.

How does it work?

Build your timetable with the drag-and-drop builder, assign subjects and teachers to slots, and let teachers manage lesson plans and homework from their own panel. At the end of a session, use the promotion tool to move students up to their next class in one action.

Why this matters

Keeps the academic calendar organized and saves hours of manual, class-by-class promotion at year end.

Examination

What is it?

Everything related to testing students — question banks, exam schedules, grading scales, mark distribution, and generated certificates.

How does it work?

Create an exam, set its mark distribution and grading scale, then let teachers enter marks through their panel. Once marks are finalized, generate report cards, transcripts, admit cards, and certificates (transfer certificate, testimonial) directly from the system.

Why this matters

Standardizes grading across every class and teacher, and turns what used to be manual document creation into a one-click export.

Finance

What is it?

Fee structures, invoicing, payment collection, scholarships/waivers, and basic accounting (ledger, profit & loss).

How does it work?

Define fee types and structures per class or session, and the system automatically generates invoices for students. Record payments as they come in, or let guardians pay online through the payment portal. Review scholarship and fee-waiver requests, and check your financial reports at any time.

Why this matters

Gives you real-time visibility into collections and outstanding dues, instead of reconciling spreadsheets at month end.

HR & Payroll

What is it?

Employee records, job postings, leave management, staff attendance, and payroll processing.

How does it work?

Add employees with their designations and salary components. Staff can submit leave requests for your approval, and their attendance is tracked separately from students. Run payroll for a period to calculate and record salary payments automatically.

Why this matters

Cuts down on manual payroll calculations and gives you a single place to manage your entire staff lifecycle.

Communication

What is it?

Notices, bulk messaging, in-app chat, and AI-driven attendance insights.

How does it work?

Send a notice or bulk message targeted to a specific branch, class, or role, and track delivery in the logs. Use in-app chat for direct conversations, and check the AI insights dashboard for early attendance-pattern warnings.

Why this matters

Keeps parents and staff informed without juggling multiple external tools, and helps you catch attendance issues before they become serious.

Library

What is it?

Your book catalog, member records, and borrow/return circulation with configurable loan periods.

How does it work?

Add books to the catalog, register members (students or staff), and record each borrow or return transaction. Loan periods and due dates are tracked automatically.

Why this matters

Replaces a paper register with a searchable system that tells you exactly who has which book and when it is due.

Hostel

What is it?

Hostel buildings, rooms, and student room allocations.

How does it work?

Set up your hostel buildings and rooms with capacity limits, then allocate students to available rooms.

Why this matters

Prevents overbooking and gives you an always-current view of hostel occupancy.

Transport

What is it?

Vehicle records, routes and stops, and student transport allocations.

How does it work?

Define your routes and stops, register vehicles against them, then assign students to the route that serves their pickup point.

Why this matters

Makes it easy to answer "which bus does this student take?" and to plan routes as enrollment changes.

Inventory

What is it?

Asset categories, individual assets, and staff asset requests.

How does it work?

Categorize and register school assets (equipment, furniture, devices), and process requests from staff who need to check out or reserve an asset.

Why this matters

Keeps track of what the school owns and who is using it, reducing loss and duplicate purchases.

Website CMS

What is it?

Your school's own public website — pages, events, gallery, downloads, video lessons, alumni, and site settings.

How does it work?

Edit your public site content directly from Website CMS: add news/events, upload gallery photos, publish downloadable documents, and customize site settings like your logo, colors and domain.

Why this matters

Gives you a professional public presence without needing a separate website or a developer for routine updates.

Analytics & Compliance

What is it?

Reports, grievance case handling, teacher evaluations, facility bookings, e-signatures, wellness, and data import/export.

How does it work?

Use the reports dashboard to review school-wide metrics. Log and track grievance cases to resolution, run periodic teacher evaluation cycles, and manage facility bookings. Import bulk data or export compliance data (EMIS) as needed.

Why this matters

Consolidates the reporting and compliance work that regulators and school leadership expect, without manual spreadsheet compilation.

Developer & Users

What is it?

User accounts, roles and permissions, API keys, webhooks, and the audit log.

How does it work?

Create user accounts and assign roles with specific permissions. If you integrate with external systems, generate API keys or configure webhooks here. Review the audit log to see who changed what and when.

Why this matters

Controls exactly who can access what in your school's system, and gives you a full accountability trail.

Dashboard & Profile

What is it?

Your personal landing page with a summary of your classes, and your own profile settings.

How does it work?

Log in to see your dashboard summary, and open your profile to update your contact details and password.

Why this matters

Gives you a quick daily overview before diving into specific tasks.

Take Attendance

What is it?

The tool for marking daily attendance for the classes and sections assigned to you.

How does it work?

Open Take Attendance, select your class and section, and mark each student present, absent, or late. Submit to save the record for the day.

Why this matters

Accurate daily attendance feeds directly into school-wide reports and parent notifications, so timely entry matters.

My Timetable

What is it?

Your personal weekly teaching schedule across all assigned classes.

How does it work?

Open My Timetable to see which class, subject and room you're assigned to for each period of the week.

Lesson Plans

What is it?

A place to plan and document what you will teach in upcoming classes.

How does it work?

Create a lesson plan for a subject and class, outlining topics and objectives for a date range. Update it as your teaching progresses.

Why this matters

Keeps your teaching organized and gives school leadership visibility into curriculum coverage.

Course Materials

What is it?

A place to upload and share files, notes, and resources with your students.

How does it work?

Upload a file or link under the relevant subject and class, and it becomes instantly visible to enrolled students in their own panel.

Why this matters

Gives students a reliable, always-available place to find material instead of relying on printed handouts.

Assignments & Homework

What is it?

Tools to create, distribute, and grade assignments and homework for your classes.

How does it work?

Create an assignment or homework item with instructions and a due date. Students submit their work through their panel, and you review and grade submissions from yours.

Why this matters

Digitizes the entire assign-submit-grade cycle, so nothing gets lost and grading history is kept automatically.

Question Bank

What is it?

Your personal (and shared) library of exam questions, organized by subject.

How does it work?

Add questions with their marks and difficulty to the question bank. When an exam is scheduled, questions can be pulled from this bank to build the paper.

Why this matters

Saves time re-writing questions every exam cycle and builds a reusable question library over the years.

Mark Entry

What is it?

The screen where you submit student marks for an exam you are responsible for.

How does it work?

Open Mark Entry, select the exam, class and subject, then enter each student's marks according to the configured mark distribution. Submit once complete — marks then flow into report card generation.

Why this matters

Direct digital mark entry avoids transcription errors that happen when marks are collected on paper and re-typed by someone else.

Student Leave Requests

What is it?

A queue of leave applications submitted by your students, awaiting your review.

How does it work?

Open the leave requests list, review the reason and dates, then approve or reject each request.

Why this matters

Keeps leave approval accountable and creates a record you and the school can refer back to.

My Attendance & Leave

What is it?

Your own attendance history, and a place to submit your own leave requests.

How does it work?

Check My Attendance to see your recorded attendance, and use My Leave Requests to submit a new request or track the status of an existing one.

Why this matters

Gives you the same transparency into your own record that you provide your students.

Invigilation Duties

What is it?

Your assigned exam invigilation schedule.

How does it work?

Why this matters

How does it work?

Log in to see your dashboard, and open your profile to review or update your personal details.

Why this matters

A single starting point to reach everything else in your account.

My Guardians

What is it?

The parents/guardians linked to your account, and a way to request a new guardian link.

How does it work?

View your currently linked guardians here. If a new guardian needs access (e.g. a parent), submit a link request — the school admin will review and approve it.

Why this matters

Ensures only approved guardians can view your attendance, fees and results.

My Attendance

What is it?

Your full attendance history as recorded by your teachers.

How does it work?

Open My Attendance to see a day-by-day record of your presence, absence, or late marks.

Why this matters

Lets you track your own attendance and catch any discrepancy early.

My Leave Requests

What is it?

A place to request leave and track approval status.

How does it work?

Submit a leave request with your reason and dates. Your teacher will review and approve or reject it — check back here for the outcome.

Why this matters

Gives you a documented, trackable way to request leave instead of an informal note.

My Timetable & Teachers

What is it?

Your weekly class schedule and the teachers assigned to each subject.

My Admit Card

What is it?

How does it work?

Open My Admit Card once it is generated for an exam, and download or print it before your exam date.

Why this matters

You'll need this to be allowed into the exam room.

My Fees

What is it?

Your outstanding and paid invoices, with the option to pay online.

How does it work?

Open My Fees to see what you owe and by when. Pay directly online where your school has enabled it, or check your payment history.

Why this matters

Removes the guesswork about what is due and gives you a clear payment record.

Report Card, Transcript & Certificates

What is it?

Your academic documents — report cards, transcripts, transfer certificates and testimonials.

How does it work?

Download your report card or transcript once published. For a transfer certificate or testimonial, submit a request if your school requires one, then download it once issued.

Why this matters

Gives you self-service access to official documents you would otherwise need to request in person.

Notices & Chat

What is it?

School-wide announcements and a direct chat tool.

How does it work?

Check Notices regularly for updates from your school, and use Chat to reach out to teachers or admin staff directly.

Why this matters

Keeps you informed and gives you a direct line of communication without needing to visit the school office.

My Children

What is it?

The list of your children linked to your guardian account.

How does it work?

Once the school approves your guardian link to a student, that child appears here. From this list you can switch between children to view their individual records.
